About this notice

Five Pillars Team brokered by eXp Realty (“we,” “us,” or “our”) provides this website. This notice explains how we collect, use, share and retain information through the website and the choices available to you. Where a particular activity requires your consent, we request that consent separately.

This notice covers information collected through this website and its registered property-access features. If a separate service displays its own privacy notice, that notice explains how that service handles information. Our use of information we receive from that service remains subject to this notice when it relates to your website request.

Information we collect

Information you provide. Depending on the features you use, we collect your name, email address, phone number, messages and requests, property details you submit, search preferences, saved searches and homes, and information needed to establish or verify registered property access. A valuation or property inquiry may include an address, your plans and information about the property.

Website activity and technical information. We collect information such as pages and properties accessed, searches and interactions, referring pages and campaign information, browser and device information, IP addresses, and security or performance events. Cookies, browser storage and similar technologies help the website remember preferences, maintain access and understand how it is used. Where we can reliably associate activity with your account or request, that activity may become part of your contact history.

Maps and destinations. When you search for a location or request a travel estimate, the information needed to provide that feature can include the search text, selected address or destination, relevant coordinates and network information. A property or destination coordinate is not necessarily your current physical location.

Information from services supporting the website. We receive information such as verification results, message-delivery status, appointment details and service or security events when needed to provide a feature you use.

How we use information

We use information to respond to requests; provide real estate and website services; verify contact details; establish and maintain registered access; remember searches and saved homes; arrange appointments; investigate errors, fraud and misuse; understand website and campaign performance; and meet applicable legal, brokerage and MLS obligations.

We may contact you about a request you make. Marketing messages that require separate permission are subject to that permission and your opt-out choices.

Some website content may be prepared with automated or AI-assisted tools and then published by our team. Submitting a home-valuation request asks our team for a review; it does not itself produce an instant AI appraisal. Calculators and other automated informational results are not appraisals or guarantees. If a feature involves additional processing of personal information that requires a separate notice or consent, we will provide it when required.

Registered property access and MLS records

Our Virtual Office Website, or VOW, provides registered access to additional property information. To establish access, we verify the required contact information and record the property-access terms you accept, their version and the acceptance time. We also record access expiration and evidence of sign-in and verification.

Recorded account activity can include searches, saved or unsaved homes, property visits, protected property history and photo collections accessed, document lists and document requests. These records may include an account identifier, date and time, IP address and browser information. They describe recorded access and actions; they are not a recording of everything you look at on your screen.

We use these records to provide and protect access, investigate misuse and meet MLS recordkeeping and review requirements. We may provide relevant account and activity records to ImagineMLS when required under our MLS agreement or applicable law, subject to applicable privacy requirements.

We do not retain your one-time verification codes or reusable sign-in links as part of the VOW activity record. Necessary access, security and compliance records are separate from optional website analytics.

How we share information

We share information with our team and brokerage, service providers supporting the functions described here, and real estate professionals involved in responding to your request or providing services to you. Relevant information may also be disclosed to the MLS as described above, to comply with applicable law or legal process, or to investigate misuse and protect rights and safety.

The services involved depend on the feature you use and the services enabled for it. They include:

  • Website hosting, account storage and security: Vercel, Supabase and Upstash help deliver the website, store records and limit automated abuse.
  • Optional analytics: PostHog supports website measurement and related activity analysis where enabled and permitted by your choices.
  • Advertising measurement: Google Ads helps us measure the results of our advertising where enabled and permitted by your choices. When you arrive from one of our ads, we keep the click identifier Google adds to the link. When you send a request, Google receives a scrambled (hashed) copy of the email address and phone number you entered so it can match the request to the ad.
  • Phone verification and messaging: verification and messaging providers process the phone number and information needed to send or verify a code or deliver a requested message.
  • Email delivery: Brevo supports transactional and other email delivery.
  • Customer relationship management: our internal contact system helps manage requests, contact information and related activity.
  • Maps and location features: Mapbox and Google mapping services support applicable maps, location searches and location context. Mapbox also supports destination and travel-time calculations.
  • Appointment booking: when you book a call with us, Google Calendar holds it on the calendar of the team member who takes the call, with your name, email, phone and any questions you add, and Google sends you the calendar invite.
  • Fraud and abuse prevention: Google reCAPTCHA helps evaluate interactions for security purposes.
  • Listing information: ImagineMLS supplies listing data and may receive relevant records for compliance review.

We do not sell your personal information. We do not share mobile opt-in information with third parties for their own marketing purposes.

When you follow a link to an independent service, such as a lender or social network, that service's privacy practices also apply to information it collects directly. We do not control those independent services.

Cookies, analytics and your choices

Some cookies and similar technologies are needed for sign-in, verification, preferences and protection against abuse. Others support optional analytics and campaign measurement.

Our website and our Neighborhood Quiz don’t respond to Global Privacy Control (GPC) or Do Not Track signals. Their analytics tools, including PostHog, and any advertising tags we use run whether or not your browser sends one. Once you make a request, take the quiz or sign in from a browser, we may connect that browser’s activity to your contact history. PostHog also records quiz sessions so we can see how the quiz is used and to improve the product.

Your browser may also let you block or delete cookies and stored site information. Doing so can sign you out or affect saved preferences. Browser settings do not, by themselves, delete information already retained in our systems.

You can contact us about your privacy choices or request access, correction or deletion using the details below. There is no need to send a password or one-time code with a privacy request.

Calls, texts and emails

When you submit a request, you are asking us to respond about that request by the contact methods you provide. When you request a verification code, you are asking us to send that code. These actions do not by themselves enroll you in recurring promotional text messages.

Marketing texts that require permission use a separate opt-in. Message frequency depends on your requests and any program you separately join. Message and data rates may apply. Reply STOP to stop texts or HELP for help. You can unsubscribe from marketing emails through their unsubscribe link. Necessary account, security or request-related communications may still be sent where permitted.

How long we retain information

We retain information for the purposes described in this notice and for applicable legal, brokerage, security and recordkeeping obligations. Retention depends on the record, the services you use, an ongoing relationship or dispute, and applicable requirements.

Our VOW account and access records are retained for at least 180 days after the associated access credential expires, subject to applicable law. Renewed access may create additional records with their own expiration and retention periods. This minimum is not a promise that every record is deleted automatically on day 181.

When information is no longer needed and no retention obligation applies, we take reasonable steps to delete or de-identify it. A deletion request may leave information that applicable law permits or requires us to retain, including appropriate security, compliance and legal records. We will explain relevant limitations when responding to your request.

Privacy requests and state rights

Depending on where you live and whether a particular law applies, you may have rights to confirm whether we process your information, access or obtain a portable copy, correct inaccuracies, request deletion, or opt out of certain sales, targeted advertising or significant automated profiling.

Email drake@fivepillarsteam.com with the subject Privacy request and describe the request. We may ask for information reasonably needed to verify your identity or authority. We will not discriminate against you for exercising applicable privacy rights.

Where the Kentucky Consumer Data Protection Act applies, we respond within 45 days, with a permitted additional 45 days when reasonably necessary and explained to you. If we deny a request, we provide the reason and instructions for an appeal. You may appeal by replying to our response or emailing the same address with the subject Privacy appeal. We respond to an applicable Kentucky appeal within 60 days. If the appeal is denied, you may submit a complaint through the Kentucky Attorney General's privacy-rights page. Other applicable deadlines or rights will be honored where required.

Security and children

We use safeguards such as encrypted connections, access controls and abuse prevention. No website or service can guarantee absolute security. Contact us promptly if you suspect unauthorized use of your account, and do not share your sign-in codes or verification links.

This website is intended for adults and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided information, contact us so we can investigate and take appropriate action under applicable law.

Updates and contact

We will post revisions with an updated effective date. Where a change requires additional notice or consent, we will provide it. A change to this notice does not, by itself, supply consent for processing that requires your separate agreement.
